Client Status Reports

Client status reports provide up-to-date information that can help you to effectively monitor cases associated on a particular project. They give a detailed account of the cases that are being worked on within a particular project, from developments or progress done for the day to an account of the cases scheduled to be delivered for tomorrow.

To view the client status reports of a particular project, do the following:

For PM and Analyst

  1. Go to Reports > Client Status Reports.
  2. In the Search Report by Project box, type the project name. As you type the first letters of the project name, the list of projects that match your entry will appear. To avoid committing typo error, please use the list. After entering the project, click on the Go button and a list of all reports associated with that particular project will be presented.

For Client

  1. Go to Status Reports tab.
  2. In the right panel, type a keyword (case number, project name or date using the format month-day-year like Jan-11-2010). After doing this, click on the Find a Report button and the system will then show you a detailed list of all reports associated with the keyword.

    Note: Clients can only see Posted Client Status Reports associated with their account.

To create a new client status report, do the following:

  1. Go to Reports > Client Status Reports.
  2. Click on the Create new report button.
  3. Type the project name in the box provided. As you type the first letters of the project name, the list of projects that match your entry will appear. To avoid committing typo error, please use the list.
  4. In the Subject box, type the subject that you want to use as the subject heading for the report. If no subject title is keyed in, the system will automatically use a pre-formatted subject title which uses the format “Project name Date today (month-day-year) Status Report” (e.g. Pic Perfect co. Jan-11-2010 Status Report).
  5. In the Questions/Comments textarea, type any follow-up questions/clarifications and comments regarding a project/case. You can skip this area provided that you fill out at least one of the other 2 fields (Progress Today and Plan for Tomorrow)
  6. In the Progress Today box, type the progress of the cases being worked on in a particular project.

      Note:

    1. Clicking on the Add my cases with time entry today link will automatically search the system for cases the user worked on, with time entry made for the day. Using this feature you can easily include a list of all the cases you were able to complete for the day. This will populate the Progress Today field with all completed cases on the day the report was created.
    2. Clicking on the Add all cases with time entry today link will automatically search the system for all cases, with time entry made for the day. This will populate the Progress today field with a series of cases within a certain timeframe.
    3. Clicking on the Find a case link will allow you to select a specific case you want to include on your report.
  7. In the Plan for Tomorrow box, your scheduled plan for tomorrow on cases associated with the current project.

      Note:

    1. Clicking on the Add my cases with delivery date tomorrow link will automatically search the system for cases assigned to the user with delivery date scheduled the following day. Using this feature you can easily include a list of all the cases assigned to you and also to keep track of the other cases you should work on and deliver the following day. With this feature you will not miss a single case since the system will automatically populate a list of the cases, scheduled to be delivered the next day for you in the Plan for Tomorrow field.
    2. Clicking on the Add all cases with delivery date tomorrow link will automatically search the system for all cases, with delivery date scheduled for the next day. A feature that will list all cases your team should be able to work on and deliver the following day. This will populate the Plan for Tomorrow field with a series of cases that should be delivered by tomorrow.
    3. Clicking on the Find a case link will allow you to select a specific case you want to include on your report.
  8. If you want to upload a file to the report, click on the File Upload link and do the following:
    1. Click on the Browse button to select the file. After selecting one, the Description box will be automatically filled out.
    2. Click on the Upload button.
  9. For you to be able to Post and Send a Client Status Report, you should fill out the To box and/or add a CC or BCC optionally. The To field is automatically set to the email account associated with the project. But you can also send it to another email address if it happens that the email address on file is not updated. Do this by clicking on the drop down menu and then select custom email. It will then allow you to type in another email address. Alternatively, you can switch back to sending the report to the email account associated with the project by clicking on the select account link.
  10. Click on the Post and Send button.

    Note: You also have the option to save a Client Status Report as a Draft which you can edit then Post and Send on a later time. Draft reports are not visible on Client user accounts. To save a Report as Draft, all you have to do is click on the Save Draft button on a completed Client Status Report form.
